Exclusively hire Camp Plas for your retreat, wedding or event

Please take note of the following terms and conditions for Exclusive Hire bookings:

1. Events

1.1. We reserve the right to accept or decline event bookings at our discretion.

1.2. Your contract with us will start when we issue your event booking confirmation and will be based on the terms and conditions stated in this document.

1.3. All event bookings are confirmed upon receipt of your booking confirmation, which includes details such as the dates of the event, maximum number of guests allowed, total amount payable, and payment deadlines. We will send your booking confirmation via email.

1.5. As the person making the booking, you are responsible for all members of your party. You must be at least 18 years old at the time of booking.

1.6. Children under 18 must be accompanied by an adult.

1.7. We can only discuss your event booking with you, and not with any other member of your party, unless you provide written consent.


2. Payment and Deposit

2.1. For events, we ask for a 20% non-refundable deposit of the total amount to be payable upon booking in order to secure your date. The final balance of your payment is due 30 days before the date of your event.

2.2. We do not accept credit or debit cards on site - all payments must be made before arrival via bank transfer or other agreed methods.

2.3. If booking more than a year in advance, we ask for 10% deposit to secure your date, followed by a further 10% deposit in the February the year before your event. The final balance of your payment is due 30 days before the date of your event.

Example: If booking in February 2025 for a June 2027 event, we ask for 10% deposit upon booking in February 2025, followed by a further 10% deposit in February 2026. The balance will then be payable 30 days before the date of your event.

3. Pricing for event hire

3.1. We regularly review and adjust the prices of our event hire. The price of your event hire will be confirmed at the time of booking and in your booking confirmation.

3.2. We reserve the right to charge for water, gas, electricity, and oil that may apply to the Accommodation.

4. Booking changes and Cancellation policy

4.1. To cancel a confirmed booking, you must notify us by email (contact@the-plas.com) as soon as possible, but no later than the first day of your booking.

4.2. If you’re unable to make your reserved dates, we’ll first try to reschedule your stay for a future date, transferring your deposit to avoid any loss. For cancellations within 10 weeks of your stay, our policy is as follows:

  • 21 days or less before arrival: No refund available.

  • 22 to 35 days before arrival: 10% of the total booking cost is refundable (minus the 20% deposit).

  • 36 to 49 days before arrival: 20% of the total booking cost is refundable (minus the 20% deposit).

  • 50 to 70 days before arrival: 40% of the total booking cost is refundable (minus the 20% deposit).

  • More than 71 days before arrival: 100% of the total booking cost is refundable (minus the 25% deposit).

4.3. We strongly recommend that you obtain comprehensive insurance that covers illness, cancellation, and injuries during your stay.

5. Changes or Cancellation by Us

5.1. We do not anticipate the need to change or cancel your event booking, but unforeseen circumstances may arise. We will only change or cancel your booking:

5.1.1. If essential remedial or refurbishment works are necessary to perform or complete; or

5.1.2. If reasons beyond our reasonable control occur after your booking, such as severe weather conditions or water shortages at The Plas.

5.2. In such cases, we will offer a suitable alternative booking. If no suitable alternative is available or if you do not accept the alternative offered, we will refund you the total amount paid for the booking.

5.3. We will only be liable for foreseeable losses due to changes or cancellations. We are not responsible for any unforeseeable losses you may incur. A loss is foreseeable if it is a direct consequence of our change or cancellation of your booking or if it was contemplated by you and us at the time of entering into this contract.

5.4. We strongly recommend that you obtain comprehensive insurance that covers illness, cancellation, and injuries during the time of your event.

6. Working with external partners

6.1 You are welcome to collaborate with external providers for additional accommodation, catering, activities or other services during your event and exclusive hire of Camp Plas.

6.2 Any such arrangements must be approved by us in advance and are subject to our discretion. We reserve the right to refuse external providers if their services, values, or business practices do not align with those of Camp Plas.

6.3 All external hires are subject to the terms and conditions of the third-party provider. Camp Plas holds no liability for any issues arising from their services, including but not limited to cancellations, damages, or service failures. Any disputes must be resolved directly with the provider.
